This Security Policy describes the practices and controls in place to protect your data throughout the AI model-building process. 1Data Protection Principles
Acorevia AI applies the following principles to all data handling:
- Minimum necessary access: Only team members directly working on your project can access your materials.
- Purpose limitation: Your materials and data are used exclusively for building your agreed AI model.
- Confidentiality: All team members are bound by confidentiality obligations.
- Encryption: Data in transit and at rest is protected using industry-standard encryption.
- No unauthorised sharing: Your materials are never shared with third parties except as necessary to deliver your project.
2How We Store Your Materials
Submitted materials are stored in secure, access-controlled cloud storage environments. Storage providers are selected for their security certifications and data protection standards.
Access to stored materials is logged and monitored. Only authorised team members with a direct role in your project are granted access.
3Data Transmission Security
All data transmitted between you and Acorevia AI — including through web forms, email, and file transfers — is protected using TLS encryption.
We recommend that clients submit sensitive materials through our designated secure channels rather than general email where possible. Our team will provide guidance on secure submission during onboarding.
4Team Member Security Obligations
All Acorevia AI team members with access to client materials are required to:
- Sign a confidentiality agreement before accessing any client materials.
- Use secure, authenticated access to internal systems.
- Not share client materials with any unauthorised party.
- Report any suspected security incident to management immediately.
5Third-Party Services
Acorevia AI may use third-party services for specific functions such as cloud storage, communication, or AI model deployment. These providers are evaluated for their security standards before use.
Client materials shared with third-party providers are limited to the minimum necessary for the agreed purpose. We do not share client materials with general-purpose AI training services.
6Incident Response
In the event of a security incident that affects your data, Acorevia AI will:
- Investigate and contain the incident as promptly as possible.
- Notify affected clients as required by applicable law and as soon as practically possible.
- Take corrective action to prevent recurrence.
- Document and review the incident to improve security practices.
7Data Deletion
Upon project completion, or upon written client request, Acorevia AI will delete or return all submitted materials within a reasonable period, subject to any legal obligations to retain records.
To request deletion of your materials, contact support@acorevia.com with your project reference.
8Reporting Security Concerns
If you believe there is a security vulnerability in Acorevia AI systems or if you have concerns about the handling of your data, please contact us immediately at support@acorevia.com.
